POSITION RESPONSIBILITIES:
Technical Document Specialist is responsible and is in charge of:
1. Reviewing maintenance manuals
2. Gathering information for implementing the new process of maintenance
3. Collecting inputs from clients
4. Listing out the Documents and documenting the Metro Operations as well as Maintenance details
5. Describing all possible document flow structure in the tbits application
6. Submission of documents and creating Transmittal through Document Control systems ( if any) or manually .
7. Describing and creating the Acknowledge letters for the L&T as well as Vendors through Document Control systems ( if any)
8. Tracking the pending documents through weekly progress reports
9. Notifying the involved party for tacking appropriate action on the pending documents
10. Manual follow up with the clients internal team to get an expected schedule for all pending documents
11. Export of As-Built files in the required format
12. Sign-off from the customers with clear specifications of retention of Archives
13. Coordinate all activities related to the Technical Document specialist procedure, including technical documents, drawings, and commercial correspondence.
14. Input document data into the standard registers ensuring that the information is accurate and up to date.
15. Generate the various document control reports as required.
16. Typing of depot documents, and follow up of all the depot needs
17. Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable
18. Maintain updated records of all approved documents and drawings and their distribution clearly
19. Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
20. Maintain the files and control logs as required by the project.
KEY SKILLS AND EXPERIENCE:
Knowledge in use of spreadsheets, database, word processing and selected job specific software.
Ability to keep clear and accurate records and reports.
Ability to use computer and rapidly input data and retrieve records and information.
Ability to organize work load and to manage a filing methods and management techniques
Good Communication skills
EDUCATIONAL AND TRAINING REQUIREMENTS
At least Vocational Diploma/Certificate from a 2 year Technical course
At least 3 years related work experience in office work, documentation and control
Knowledge of Engineering disciplines like Civil, Mechanical, Electrical, etc
