Reporting Relationship: Admin Manager
Summary:
The position is required to professionally maintain the front desk of ChildFund India at Bangalore Office and is responsible for coordinating all the front desk functions including receiving and making/connecting calls on behalf of ChildFund India, receiving the guests, coordinating with the departments to facilitate meeting of the visitors, travel desk management, processing the receipt and dispatch of mails including some admin related tasks in the Bangalore office.
Duties/Responsibilities:
Handle incoming and outgoing calls including distribution internally. Demonstrate professional and polite behavior in telephone responses and take adequate messages when required
Maintaining telephone logs and registers and also making the same available for analysis by the Finance/ Operations Department
Greet, assist and/or direct Vendors, visitors and the general public
Respond to public inquiries including queries on the toll-free number about Child Sponsorship
Ensure that AMS (Attendance Management System) is working without any errors. Maintaining and updating attendance register and leave records of staff from the National Office to the concerned supervisor .All the direct reportees attendance report and leave report to be given by Front desk to the National Director
Booking of venues and arrangement/ coordination for visits/ meetings/ workshops, as per requirement
Compilation and submission of bills and vouchers from third party vendors / service providers to Finance
Air ticketing and Local Travel arrangements of Office staff and also accommodation/ transportation for visiting ChildFund staff / authorized visitors/ guests
Compiling and providing information as per request.

Degree in any field
At least 2 years experience in a front desk/support role is a requirement
Computer knowledge, especially excel and web-based transactions is a must.
